How to stop losing WhatsApp leads after office hours
If the first reply comes the next morning, the client has often asked two other agencies already.
An agency running Facebook and Instagram ads gets most of its messages after 8 in the evening. That is when people have time to plan a trip. The office opened at 10, the first reply went out at 10:40, and by then the client had already been quoted by someone else.
The gap is the problem
Price matters less than you think in the first message. The client is asking a simple question: what documents do I need? The agency that answers first, clearly, in the client's language, gets the conversation.
1. Answer in under a minute
Set up the AI first response with your services and your document lists. It greets the client, answers the common questions, and asks three things: where, when, and for how many people. It writes in Bangla, English or both, matching how the client wrote.
2. Hand over cleanly
The AI should know when to stop. Special prices, complaints and anything it is unsure about go to a person. When it stops, the chat is tagged for your team and the lead is created with what the client already said, so nobody asks twice.
3. Promise a call-back time
Outside business hours, the reply tells the client when a person will call, using the call-back target from Settings. The agent sees that deadline on the lead. If it slips, the SLA alert turns red.
4. Measure it
Chat analytics shows the first-response time and which campaign each lead came from. Check it weekly. If leads from one campaign never pay, stop paying for it.
